Privacy Policy

2. Processing in connection with event registration
Which data
When you register for an event, we process: first and last name, year of birth, email address, chosen discipline, optionally club and seed time, as well as your acceptance of the terms and conditions. During the event, a bib number and heat assignment are added.
Purpose and legal basis
Processing takes place to perform the participation contract and to run the event (Art. 6 (1) (b) GDPR) and to comply with legal obligations (Art. 6 (1) (c) GDPR).
3. Payment processing via Shopify
The registration fee is processed via the Shopify platform. The data required for payment is transmitted to and processed by Shopify International Ltd. or Shopify Inc. The legal basis is the performance of the contract (Art. 6 (1) (b) GDPR). A transfer to third countries (including the USA) may occur; Shopify relies on appropriate safeguards (e.g. EU standard contractual clauses). Shopify's privacy notices apply in addition.
4. Confirmation and service emails
After a successful registration you will receive a confirmation and, where applicable, organisational information by email. The legal basis is the performance of the contract (Art. 6 (1) (b) GDPR).
5. Start and result lists
Where provided for an event, we publish start and result lists (e.g. name, club, year of birth, discipline, time, ranking). The legal basis is – where you consent to it – your consent (Art. 6 (1) (a) GDPR), otherwise our legitimate interest in proper competition documentation (Art. 6 (1) (f) GDPR). You may withdraw a granted consent at any time with effect for the future.
6. Photo, film and audio recordings
During the event, photo, film and audio recordings are made to document what happens at the event, and participants may be depicted in them. These are used to document, report on and promote the event (e.g. website, social media, press, print) and may be passed on to media and cooperation partners. The legal basis is our legitimate interest in documenting and reporting on the event as an event of contemporary history (Art. 6 (1) (f) GDPR in conjunction with § 23 KUG); consent is not obtained for this. Your right to object to the processing on grounds relating to your particular situation (Art. 21 GDPR) remains unaffected.
7. Server log files and technically necessary cookies
When the website is accessed, technically necessary data (e.g. IP address, time, page accessed) is processed and a technically necessary session cookie is set to ensure the functioning of the website (e.g. forms). The legal basis is our legitimate interest in a secure and functional operation (Art. 6 (1) (f) GDPR) or § 25 (2) TDDDG.
8. Map display via Google Maps
On the event pages we embed maps from the "Google Maps" service to show the event location. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland ("Google"). The map is not loaded automatically: at first you only see a local placeholder. Only when you actively click "load map" is a connection to Google established and your IP address transmitted to Google. Google may also process the data collected in this way for its own purposes. A transfer to third countries (in particular the USA) may occur; Google relies on appropriate safeguards (including EU standard contractual clauses).
The purpose is to display and easily locate the event venue. The legal basis for loading the map and the associated transfer is your consent, which you give by clicking "load map" (Art. 6 (1) (a) GDPR, § 25 (1) TDDDG). Consent is voluntary and can be withdrawn with effect for the future. For more information on Google's data processing, see its privacy policy: policies.google.com/privacy.
9. Recipients / processors
To provide our services we use carefully selected service providers, in particular for payment processing (Shopify) and hosting of the platform. They process data on our behalf and according to our instructions on the basis of data processing agreements (Art. 28 GDPR).
10. Storage period
We store personal data only for as long as is necessary for the stated purposes or as required by statutory retention periods (e.g. under commercial and tax law). After that, the data is deleted or anonymised.
11. Your rights
You have the right to:
- access (Art. 15 GDPR),
- rectification (Art. 16 GDPR),
- erasure (Art. 17 GDPR),
- restriction of processing (Art. 18 GDPR),
- data portability (Art. 20 GDPR),
- objection to the processing (Art. 21 GDPR), and
- withdrawal of granted consent with effect for the future (Art. 7 (3) GDPR).
To exercise your rights, a message to the controller named above is sufficient.
12. Right to lodge a complaint with a supervisory authority
You have the right to lodge a complaint with a data protection supervisory authority. The competent authority is the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia (LDI NRW), Kavalleriestraße 2–4, 40213 Düsseldorf, Germany.
